How Pricing Works
Your pathway cost consists of three components. We provide full transparency on each element.
KCP coordination fee
Plan-based fee for our care coordination services, from discovery call through to structured follow-up.
Provider treatment fees
Vary by procedure and hospital. Paid directly to the provider. We provide an itemised quote with full inclusions and exclusions.
Optional add-ons
Extended support, translation upgrades, additional advocacy days, and enhanced concierge services available on request.

How We Are Paid

Our Coordination Fee
The primary way we are paid is through our care coordination fee, which you pay directly to KCP. This fee covers all the work we do on your behalf:
- Clinical triage and suitability screening
- Provider research, vetting, and option presentation
- Booking coordination and pathway structuring
- Pre-departure planning and documentation support
- In-country liaison and check-ins (where included in your plan)
- Discharge pack collection and UK aftercare coordination (where included)
- Ongoing case management and advocacy throughout your journey
Your plan tier (Essentials, Plus, or Premier) determines the coordination fee, which reflects the level and intensity of support provided.
Provider Referral Arrangements
In some cases, KCP may receive a referral fee or commission from providers when we refer patients who proceed to treatment. This arrangement is common in medical travel coordination and helps support the sustainability of our service.
Important principles we follow:
- Clinical suitability comes first: We only present providers where there is a genuine clinical fit. Referral arrangements do not influence our clinical triage or suitability assessment.
- You always know the full cost: Provider treatment fees are clearly itemised in your quote pack, with full inclusions and exclusions disclosed upfront.
- Choice and comparison: Where feasible, we offer multiple provider options so you can compare and choose based on quality, experience, location, and cost.
- No hidden markups: The provider fees you see in your quote are the same whether you book through KCP or approach the provider directly. Any referral fee we receive comes from the provider's margin, not from an inflated price.

Optional Add-On Services
We may offer optional add-on services for an additional fee, such as:
- Extended post-return support beyond your plan's included check-ins
- Additional in-person advocacy days or specialist coordination
- Enhanced concierge services (e.g., companion itinerary planning, additional accommodation changes)
- Translation upgrades or document certification support
These are always optional and clearly priced before you decide to proceed. We will never upsell unnecessary services.

We will always:
- Disclose how we are paid and any referral arrangements that apply to your pathway
- Provide honest, evidence-based guidance on clinical suitability and provider quality
- Present transparent, itemised costs with no hidden fees or surprise charges
- Act in your best interests, even when that means advising against treatment or recommending a different approach
If you ever feel unclear about our commercial arrangements or have concerns about a provider recommendation, please raise them. Transparency and trust are fundamental to what we do.
Refunds and Cancellation

KCP Coordination Fee Cancellation
Our coordination fee becomes non-refundable once clinical screening and triage work begins. This is because significant preparatory work—including records review, clinical assessment, provider liaison, and pathway structuring—has been undertaken on your behalf.
- Before screening:Full refund available if you cancel before clinical work commences.
- After screening:Coordination fee is non-refundable due to work completed.
Detailed cancellation terms specific to your pathway are included in your service agreement.
Provider Treatment Fee Cancellation
Provider deposits and treatment fees have separate cancellation policies, which vary by provider, procedure, and country. Common terms include:
- Deposit (typically 20-30%):Often non-refundable once dates are secured, as providers hold capacity for you.
- Cancellation notice:May be refundable if given sufficient notice (often 14-30 days), subject to provider policy.
- Late cancellation:Full payment may be forfeited if cancelled close to treatment date.
We provide clear written cancellation terms from each provider before you commit. These are included in your itemised quote pack so you understand your obligations upfront.
If You Need to Cancel or Postpone
Life is unpredictable. If circumstances change and you need to cancel or reschedule:
- Notify us immediately: The earlier we know, the better we can support you and coordinate with providers to minimise financial impact.
- Review your agreements: We'll walk you through the applicable cancellation terms for both KCP coordination and provider treatment fees.
- Contact your insurer: If you have comprehensive medical travel insurance covering cancellation, notify them promptly and follow their claims process.
- Consider rescheduling: In some cases, providers may allow you to reschedule rather than cancel outright, preserving your deposit or treatment slot.
We will do our best to support you through changes, but we cannot override provider cancellation policies or guarantee refunds from third parties.
Travel Insurance Strongly Recommended
We strongly advise comprehensive medical travel insurance that covers:
- Cancellation due to illness or unforeseen circumstances
- Medical complications during and after treatment
- Repatriation and emergency medical care
- Travel disruption and accommodation changes
Insurance may allow you to recover costs if you must cancel for covered reasons. Check your policy terms carefully and declare all medical history truthfully when applying.
